Join Our Growing Accountancy PracticeWe are looking for a friendly, organised and proactive Administrative Assistant to join our busy accountancy practice. This is an excellent opportunity for someone who enjoys a varied role and takes pride in delivering outstanding customer service while supporting a professional office environment.
As the first point of contact for our clients, you'll play a key role in ensuring the smooth day-to-day running of the practice. No two days are the same, so we're looking for someone who is confident, adaptable and able to manage a variety of administrative responsibilities.
The RoleYour responsibilities will include:
- Welcoming clients into the office and providing a professional first impression.
- Answering incoming telephone calls, dealing with enquiries and directing clients to the appropriate member of the team.
- Managing the reception area and ensuring meeting rooms are prepared for client meetings, including refreshments.
- Drafting and sending professional emails and correspondence.
- Preparing engagement letters and liaising with clients to ensure documentation is completed.
- Preparing and submitting Companies House Confirmation Statements.
- Registering clients for VAT.
- Liaising with HMRC on behalf of clients to resolve queries.
- Managing document scanning, filing and maintaining accurate client records.
- Supporting the firm's credit control process, including chasing outstanding invoices and progressing Small Claims Court applications where required.
- Providing general administrative support to the wider team.
About You:
- Experienced in an administrative or office support role.
- Professional, personable and well presented.
- An excellent communicator with strong written and verbal English.
- Confident speaking with clients both over the phone and face-to-face.
- Highly organised with excellent attention to detail.
- Able to prioritise tasks and work efficiently in a busy office.
- Competent using Microsoft Office, including Outlook, Word and Excel.
- Reliable, proactive and keen to take ownership of their work.
Desirable
- Previous experience working within an accountancy practice or professional services environment.
- A general understanding of bookkeeping, VAT or accounting terminology.
- Experience dealing with HMRC or Companies House.
